Submission Guidelines

The ESE Paris Biennial Congress 2025 is delighted to announce new submission features:

⇒ New submission category: Educational Posters with dedicated Award: the John Whitworth Education Poster Award
⇒ The Paul Dummer Research Poster Award (formerly known as Original Scientific Research Poster Award)
⇒ Upgrade on all Awards amounts to €1,000 each (full details in each category)

Presentation Timetables

All presenters MUST attend the entire session they are allocated to. It is NOT possible to change the day and time of presentation – so, if you submit an abstract for poster, video or oral presentation you must be available for the entire congress.

Winners of each competition will be announced at the Prizes & Awards Ceremony in Hall 1 on Friday 5th, 12:30 - 12:45.

 

Submission Guidelines

Important Information for Abstract Submissions:

  • All submissions must be made via the Online Submission Platform
  • Each category of presentation has specific and unique requirements – please read the instructions carefully before submission.
  • For example, abstracts for posters that cover Clinical Research (trials, outcome studies) should be submitted to the Research poster section NOT the Clinical Poster section, which is about clinical case reports and clinical techniques.
  • If you enter your abstract into the wrong category of presentation it will automatically be entered into the General Endodontic Poster section.
  • Only those abstracts accepted for the ESE Wladimir Adlivankine Prize Competition, ESE Education Prize Competition, Educational Poster and Research Poster subcategories will be published in the International Endodontic Journal.

Submissions are accepted OR rejected based on:

  • submission to the correct category;
  • adherence to the guidelines for submission to the correct category;
  • quality of the submission

Decisions on acceptance or rejection of submissions will be made by 1st May.

Submitters will receive an acceptance/rejection email after 1st May. Please check your Junk/SPAM folders before querying the status of your submission. Presentation details, e.g. room, day, time and moderator will be informed via email once these have been decided.

Authors will be invited to present their work only when the submission has been accepted. Abstracts not accepted for the Educational Posters, Research Posters, Clinical Posters and Oral Presentations on Freely Chosen Subject categories will be invited to be included in the General Endodontic Poster section. Authors will have an opportunity to select whether they wish their submission to be withdrawn or considered for this section. Please note General Endodontic posters will NOT be formally presented, moderated or included in the International Endodontic Journal.

Submission Process Rules:

  • Submissions will be accepted soon until midnight (CET) on 1st March 2025.
  • All submissions must be in the English language.
  • Submitters are responsible for the accuracy of their submission, including the grammar and correct spelling, as well as the names of authors and institutions.
  • Submitters must include appropriate credit to all contributing authors and their associated institutions.
  • All authors must be listed before submitting an abstract, clinical poster or clinical video. All co-authors must agree that the abstract, poster or video can be submitted for presentation.
  • Abstracts for the ESE Wladimir Adlivankine Research Prize, ESE Education Prize, Educational Poster and Research Poster sections should not be submitted if the contents have already been or will have been published or presented at another meeting.
  • Authors may co-author multiple submissions but only present ONE in the same category.
  • Authors may not submit the same abstract to different categories.
  • After submission, abstracts can be freely edited by authors during the submission phase (15th November 2024 to 1st March 2025).

After the submission deadline (1st March 2025), no further changes can be made to abstracts.

Quick Guide Online Submissions

This is your step-by-step guide to the Online Submission system and Review Process for ESE Paris 2025.

Please read all information in this section before attempting the online submission.

In order to submit you need to:

  • know which of the categories of the presentation you plan to submit to;
  • make sure that your submission is formatted and structured correctly;
  • select a “topic” for Educational Posters, Research Posters and Oral Presentations on Freely Chosen Subjects to allow us to route it to an appropriate reviewer and arrange the timetable (check the topic lists on each category information)
  • include a complete list of authors and affiliations

If you have all this ready, you are ready to proceed.

Step 1 - Create an account on the online system

If you have already logged-in to the platform, use the same username and password to submit your abstract. If you have forgotten or do not know your username and password, put your email address into the “Forgotten your Password?” box and click SEND PASSWORD. If the email does not arrive check your junk / clutter / spam folders. Please note our system only holds ONE email address, so if you have more than one email address try each of them in the box. If you do not have a username and password, you can create a New Account in the Online Submission page. Please note that you will not be able to submit for the European Society of Endodontology ESE Wladimir Adlivankine Research Prize or ESE Education Prize unless you are a member of one of the full member or international affiliate societies of the ESE.

 

Step 2 - Upload and edit your abstract and its associated information (Until 1st March 2025)

Clinical Poster submissions (Electronic Posters) – pdf format of A3 size: 29,71x42,02cm in final poster version

Step 3 - Wait for the review process to finish

The review process ends on the 1st May. After this date you will receive your acceptance/rejection letter(s) by email with the decision regarding your submission.

 

Step 4 - Decisions

There are two possible outcomes:

  • Accepted – no further changes required.
  • Rejected – the Editor feedback will assist you in understanding why your submission was rejected. Your abstract will be sent to the General Endodontic poster section if you selected this option.

Clinical Posters may be accepted with changes – these authors will be informed by 1st April and will have a dedicated period of time (1-15 April) to resubmit the poster with such changes which will then be subject to a final review.

Notifications to all authors will be sent after 1st May.

All accepted ESE Wladimir Adlivankine Prize Competition Abstracts, ESE Educational Prize Competition Abstracts, Educational Abstracts and Research Abstracts will be subject to a final revision by the editors in order to be published in the International Endodontic Journal.

Timetables for each presentation will be provided in advance of the congress for – Educational Posters, Research Posters, Clinical Posters, Clinical Videos and Oral Presentations on Freely Chosen Subjects and Oral Presentations at the specialist and Certified Members Symposium.
